If you are travelling to Belgium for meetings, trade fairs, conferences or training, you need a short-stay Schengen business visa. The Embassy of Belgium publishes a checklist for this visa, and applications go through VFS Global. This page turns that checklist into a practical guide. Requirements change, so confirm the current list on the VFS Belgium page before you submit.
Who needs a business visa?
Indian passport holders need a Schengen visa for Belgium. Indian citizens need a visa for Belgium, whether for tourism, business, family visits, study or work. The Embassy’s business category covers business, professional reasons, traineeship or training, and cultural, sporting, conference or other non-religious events. A business visa does not allow you to take up employment in Belgium. For work routes, see our Bulgaria employment visa guide as an example of how long-stay work visas differ, and check Belgium’s own rules separately.

The official checklist
The Belgian Embassy’s checklist for Indian applicants lists these documents. Several items are numbered, and additional documents may be required by the Embassy even if not on the list.

Documents commonly added
Other checklists and guides mention items that may help your file. These are not all on the official list, so ask VFS or the Embassy whether they apply to you.
- A cover letter from you explaining your trip and ties to India
- Sponsorship letter from the company organising the trip, with a list of attendees
- Business registration certificate or company trade licence, if you are an owner or director
- Chamber of Commerce documents, where applicable
- Proof of the business relationship, such as trade show registration or business correspondence
- Change flights reservation
- Employment letter on company letterhead confirming position, salary and approved leave
One guide says the invitation letter is the most important document for a business visa, and that a weak letter is the top reason applications get delayed or refused. It should be verifiable through Belgium's public business registry.

What the invitation letter should include
Ask the Belgian company to use its letterhead and have an authorized person sign it. It should state:
- Your full name, passport number and job title
- The company's name, address, registration details and contact person
- The exact purpose of the visit and the meetings or events planned
- The dates of arrival and departure
- Who pays for travel, accommodation and living costs
- A statement that you will return to India after the visit
Match the dates, purpose and cost details across your invitation, your employer's letter, your hotel booking and your cover letter. Inconsistent details are a common cause of delays.
Where and how to apply
Applications go through VFS Global. The Belgian checklist points to the VFS Belgium India page. A guide says the application form is completed online through the Belgian visa application portal or VFS Global, then printed and signed. The steps are:
btwvisas
- Check that Belgium is your main destination. Under Schengen rules, apply to the country where you will spend the most days, or the country of first entry if the stays are equal.
- Complete the online form and print and sign it.
- Book your VFS appointment on the VFS Belgium page. See our Austria visa appointment guide for how VFS booking generally works.
- Attend in person with originals and photocopies, and give biometrics.
- Pay the fees and keep your receipt.
- Track your application and collect your passport.
For the general Schengen process, see our guide on how to apply for an Austrian visa, which follows the same steps.
Effer
The standard Schengen fee for an adult is €90. One travel site still lists €80 for Belgium, which was the fee before the 2024 increase, so treat it as outdated. A VFS service charge is added. An older university copy of the Belgian business checklist mentions an appointment cost of INR 2,263 per person, non-refundable, but I could not confirm that against the current VFS page. The Embassy's checklist says the visa fee is non-refundable if the visa is denied. Our Bulgaria visa fee guide shows how a full VFS fee breakdown looks. Check the VFS Belgium page for the Belgium amounts.

Timing
I did not find an official processing time for Belgium in India. Under the EU rules, standard decisions take about 15 days and can extend to 45. See our Austria visa processing time guide for the Schengen timeline. Apply early, and don't book non-refundable flights before approval.
Rules to Remember
- A prolongation of the visa is not possible. belgium
- A short-stay visa allows a maximum stay in the Schengen area of 90 days in any 180-day period. See our guide on how many days you can stay.
- The visa file number issued on submission lets you track the application. vfsglobal
- Additional documents requested by the Embassy must be submitted through VFS, not by post.
Common mistakes to avoid
- A vague or unsigned invitation letter
- Dates that don't match across your documents
- Missing the employer's cost guarantee
- Travel insurance from an unapproved insurance
- Applying to Belgium when your main destination is another Schengen country
- Booking non-refundable flights before approval
- Submitting documents late or by post
